Privacy policy

This policy explains what personal data Rehabify collects, why, how long we keep it and what rights you have. It is written to follow India's Digital Personal Data Protection Act, 2023 (DPDP Act) and the DPDP Rules, 2025. This website is run by Rehabify, Bengaluru, Karnataka. In this policy, "Rehabify", "we" and "us" mean that entity.

1. What data we collect

  • When you book or contact us: name, phone number, email (optional), preferred date, clinic or video format, reason for visit and any message you write.
  • When you are our patient: medical history, examination findings, scans and reports you share, treatment notes, prescriptions and follow-up records.
  • For video consults: the details above, plus the call link and any photos or videos you send to help the doctor assess you.
  • When you use the website: basic technical data such as browser type and pages visited. With your consent only, anonymous usage data through Google Analytics 4.
  • On WhatsApp or phone: your number and the messages you send us.

Please do not send detailed health information through the website form. Share it at your visit or on a channel the clinic tells you to use.

2. Why we use it (purpose)

  • To assess, treat and follow up with you, and to keep medical records required by law
  • To answer your questions and complaints
  • To issue bills and receipts
  • To keep the website secure and working (for example, blocking spam with Cloudflare Turnstile)
  • With separate consent only, to understand how the website is used

We use your data only for the purpose we told you about. If we need it for a new purpose, we will ask again.

We ask for your consent with an unticked checkbox on our forms. The consent notice tells you what we collect and why. You can withdraw consent at any time by writing to the privacy contact. Withdrawing consent does not affect care already given or records the law requires us to keep. Children under 18: we need verifiable consent from a parent or legal guardian before we process a child's data. A parent or guardian should fill in the form and attend or join consults with the child.

4. Who we share it with

  • Website hosting (Vercel)
  • Email delivery for booking requests (Resend)
  • Spam protection (Cloudflare Turnstile)
  • WhatsApp Business (Meta) when you message us
  • Analytics (Google Analytics 4), only after you accept cookies

We also share data when the law requires it, with a doctor or hospital you are referred to with your agreement, or in a medical emergency to protect your life. Some providers may store data outside India, as allowed under the DPDP Act.

5. How long we keep it

  • Enquiries where no visit happened: 12 months, then deleted

6. How we protect it

Access is limited to people who need it for your care or for running the clinic. We use encrypted connections (HTTPS), secure accounts with strong passwords, and providers with recognised security practices. If a personal data breach happens, we will inform you and the Data Protection Board of India as the law requires.

7. Your rights

Under the DPDP Act you can:

  • Access: ask for a summary of the data we hold about you and how we use it
  • Correct and update: ask us to fix data that is wrong or incomplete
  • Erase: ask us to delete data we no longer need, except records we must keep by law
  • Withdraw consent at any time
  • Nominate someone to use these rights for you if you die or cannot act
  • Raise a grievance with us, and then with the Data Protection Board of India if you are not satisfied

To use any right, write to the privacy contact.

8. Cookies

We use essential cookies to make the site work and remember your cookie choice. Analytics cookies load only if you click Accept on the cookie banner. You can change your choice anytime from "Cookie settings" in the footer. We do not use advertising cookies.

10. Changes

We may update this policy. The "Last updated" date at the top will change, and important changes will be shown on the website.
